Behavioral health and ABA billing goes wrong at the authorization, not at the claim. Blocks of units run out mid-treatment, billed units have to match what the signed session note documents, and rendering and supervision rules differ payer to payer. Telehealth adds another layer. When nobody owns the authorization calendar, treatment carries on uncovered and the practice writes off work it has already delivered.
What the seat actually does
- One authorization register: authorized units, date span, units used, units left and renewal date for every active client, updated daily.
- Session notes reconciled to units before anything is billed, so billed units match the signed note and the rendering and supervising person match the authorization.
- Reauthorization opened before the current block runs out: your clinician's progress report chased first, then the payer chased to a decision, every call logged with the reference.
- Anything that does not reconcile is held and the gap named back to your clinician: note missing, note unsigned, units over the block. Nothing billed blind.
- Denials and unit reductions worked: reason read, note and authorization pulled, appeal drafted and packaged for the credentialed person on your side to review and sign.
- A weekly authorization report: who is close to running out, which renewals are pending, which sessions sit unbilled and the reason each one is sitting.

How a seat starts
You issue one named login. We sign the Business Associate Agreement before it is used. We agree the numbers you will judge the seat on, which you pick and you measure. Then we train for about a week on your workflow and the seat starts. Every Friday you get a written report of what was done, what the numbers were, and what went wrong.

Is there a minimum contract?
One seat for one month, cancellable with thirty days notice. There is no annual lock-in.
Do we have to change systems?
No. The work happens inside whatever you already use, through a named login you issue. We do not sell software and we do not route your data through anything of ours.
How quickly can a seat start?
About a week from the agreement, which covers training on your workflow, your payer mix and your system. You are not charged extra for that week.
Can the seat request authorizations for us?
It prepares and submits them. The seat builds the request in your portal or calls it in, using clinical documentation your clinician has written and signed, then chases it to a decision and logs the reference. What it cannot do is write the clinical content. The assessment, the treatment plan and the medical necessity narrative are clinical judgments and have to come from your licensed clinician. The seat reads back exactly what the payer is asking for, chases your clinician for it, and takes it from there.
Who carries the responsibility if units are billed wrong?
You do, and so does whoever signs off billing on your side. The seat reconciles units to the note and stops anything that does not match, but final code selection and billing sign-off has to sit with a credentialed person in your practice, whether that is a certified coder, a billing manager or the provider. Treat the seat as the person doing the checking, the chasing and the paperwork, not as the one carrying the liability. If nobody on your side can own that sign-off, this is not the right service for you yet.
We are a small practice. Is a full seat too much?
Probably, if you have one or two clinicians and a light caseload. A full-time seat is a full-time seat and you pay for the month whether the work fills it or not. It starts to pay when authorization tracking and unit reconciliation is already taking a day or more a week of somebody's time, or when you are writing off sessions because a block ran out and nobody noticed. Below that, a part-time person in your own office is usually cheaper. We would rather say so than take a month's fee.
Does the work happen in our system?
Yes. The seat works inside your practice management system, your EHR and your payer portals, on credentials you issue, under access rules you set. Nothing is copied out and no software of ours sits in the middle. Two real limits. You need to be able to create a named user account and a remote access route your IT and your own compliance policy accept. And our staff sit in Pakistan: some payer contracts and some state Medicaid programmes restrict offshore access to their systems and data or require it to be disclosed. Check your contracts and your state's rules first. Where offshore access is barred, we cannot do that part of the work and we will tell you so.
What do the hours and the price cover?
One full-time person working your business day on your time zone, taking direction from you. The rate is per seat per month, paid up front, one month minimum, thirty days' notice to stop. That covers the person, their workstation and connection, and a named point of contact on our side. It does not cover clearinghouse fees, portal charges, telephony billed through your own system, or any software license that has to be bought in your name for them to use.
