Money
How much does a seat cost?
Between $1,500 and $2,500 per seat per month depending on the role. Certified payroll is $1,600, AR calling is $1,700, eligibility is $1,700, prior authorization is $1,900, credentialing is $2,200 and a certified coder is $2,500. Those are the prices we charge and they are on the pricing page so you do not have to ask.
Do you charge per claim or per hour?
Neither. A seat is a flat monthly rate for a full time person, forty hours a week. Per-claim pricing makes the invoice unpredictable and rewards volume rather than resolution.
Do you take a percentage of collections?
No. A percentage model means our invoice rises exactly when your month goes well, it makes next year impossible to budget, and it puts our incentive on the easy accounts rather than the ones sitting at 120 days.
Is there a setup fee or an onboarding charge?
No. Training on your workflow takes about a week and is not billed on top.
Do we get a discount for more seats?
From four seats onward we will talk about a rate. It will still be a published number rather than something derived from what you look like you can afford.
Commitment and risk
What is the minimum commitment?
One seat for one month, cancellable with thirty days notice. No annual contract. A company that needs a year-long lock-in to keep a client is telling you something about month two.
What if it does not work out?
Thirty days notice, no penalty and no argument. We would rather you left in month two than stayed unhappy for a year, because an unhappy client who stays is a reference we can never use.
Why should we trust an offshore provider?
You should not, on a promise. That is why it is one seat for one month with thirty days notice — you can test it on a real queue for less than a week of a local hire costs, and judge it on numbers you picked rather than anything written on a website.
Can we start with one seat and see?
That is the way we would rather you did it. One seat, one month, on the queue that is hurting most. It is a small enough bet that the risk of a new vendor becomes a number rather than a feeling.
Compliance and data
Do you sign a BAA?
Yes, and before anyone is given a login rather than after the first week. If a vendor will start work before the Business Associate Agreement is signed, that tells you what their compliance is worth.
Are you HIPAA certified?
There is no such thing. No government body certifies anyone against HIPAA, and a vendor showing you a HIPAA certificate has bought a logo from a training company. What matters is the signed BAA and whether the controls hold, and ours are listed on the security page for you to audit.
Where is our patient data stored?
In your system, where it already is. We do not copy, mirror or warehouse it. There is no Soft Home Global database with your patients in it, which is the only genuinely safe answer to this question.
What happens to access when someone leaves?
It ends the same day and we confirm it to you in writing. You can revoke it yourself at any moment, because the login is yours and you issued it.
The work itself
What hours do your staff work?
United States business hours in your time zone. Pakistan runs nine to twelve hours ahead of the US, so our night shift is your working day and your AR gets worked while your office is closed.
Which practice management systems do you work in?
Whatever you already use, through a named login you issue. We do not sell software, we do not ask you to migrate, and we do not route your data through anything of ours.
Is the person dedicated to us?
Yes. A seat is one named person on your account, not a pool shared across three clients. That is what makes the specialty and payer knowledge accumulate instead of resetting every week.
How long until a seat is productive?
About a week of training on your workflow, your payer mix and your system. Full time from day one of that week, and you are not charged for a ramp period on top.
Who decides what gets worked first?
You do. We will tell you when we think the order is costing you money, and then work it in your order anyway, because it is your practice.
How do we know what was done?
A written report every Friday: what was done, what the numbers were, and what went wrong. Including the weeks that went badly, because those are the ones worth reading.
