What a seat costs against hiring locally

About these numbers
Where does the starting salary come from?
It is the US national median wage for medical records specialists, the occupation that covers billing and coding staff: $51,140 a year (O*NET, citing Bureau of Labor Statistics data, 2025). It is not a quote and not what we think you should pay. Change it to your city and your offer.
Why add benefits and employer costs to the salary?
Because a salary is not what an employer pays. In private industry, wages and salaries are only 69.9% of total employer cost per hour worked (BLS Employer Costs for Employee Compensation, March 2026); benefits and legally required costs are the rest. At the median that is about $73,162 a year, the same figure the pricing page uses. A desk, equipment and recruitment come on top.
Does the seat price include everything?
The seat fee is the whole invoice. No setup fee, no recruitment cost, no equipment, no benefits, no payroll tax, and no percentage of what you collect. Software licences inside your own system and clearinghouse fees stay yours, because they always were.
What does the calculator deliberately not model?
Recruitment cost and the weeks a seat sits empty while you hire. Turnover, which in US billing roles runs high. The management time both options need. And it assumes equal productivity, which depends far more on training and worklist quality than on geography.
If the numbers say a seat costs less
The calculator compares cost; it cannot tell you whether there is a full-time job’s worth of work waiting. Send an aged AR report and you get back, in writing, what is sitting in it and whether it would keep a person busy — free, whether or not you buy anything.
